Policies Governing an aps.ateneo.edu E-Mail Account

What are these policies for?

These policies apply to the new e-mail server, mail.aps.ateneo.edu, that will host user accounts under the aps.ateneo.edu domain.

These policies are intended to give all users equal access to the resources being provided by this new email server, ensure the security of users' accounts, and ease overall system administration.


 

Who can have accounts?

 

All bona fide employees of the Ateneo Professional Schools can have an account under the aps.ateneo.edu domain.
 

 


 

Account Access

 

Accounts can be accessed from anywhere through a web interface located at http://mail.aps.ateneo.edu/. Within APS-Rockwell, Outlook 2000, Outlook Express 5, Eudora 5.1.1, and Netscape 7.0 can also be used with an encrypted version of the POP protocol.

For security reasons, telnet (shell) access will not be allowed on the new server.

 

Users have the responsibility, and a personal stake, in securing their accounts. Some basic guidelines on how to select a good password can be found here.


 


 

Account Activation and Validity


For security, every account password must be changed at least once a year, counting from the time the account was created. Failure to do so will disable the account, which can only be reactivated by coming in person with a valid ID to either the AITI-Salcedo or APS-Rockwell network operations centers. Should the disabled account remain inactive for one year, the said account will be removed without further notice.


Users will be notified by email of impending expiration approximately 30 and 7 days beforehand. Please note that the CNG will never instruct users to change their password to a particular value whether over the phone or (especially) through email.


 


 

Account Limits

 

Account Activation and Validity Each account will have the following resource limits:

Soft Disk Space Limit: 40 MB
*** beyond this, the user can still receive new e-mails for 14 days,
*** or until the maximum limit below is reached.

Maximum Disk Space Limit: 60 MB
*** once reached, the user will no longer be able to receive new email,
*** or save copies of sent messages.

Users will be notified by email if they have exceeded the soft disk space limit. The disk limit covers ALL folders, not just the user's Inbox.

Maximum E-Mail Message Size: 4 MB
*** for both incoming and outgoing messages.

Maximum Attachment Upload Size: 2 MB
*** this is for messages originated by the user using the web interface.

Exceeding these limits will cause either the upload or send operation to fail.
